Information we collect

We may collect your contact email, passport and identity information, travel and accommodation details, health-declaration answers, uploaded documents, prepared form fields, payment records, device and security data, and communications with support. The first version does not require or create a user account.

How we use information

• Read documents, prepare travel-form fields, validate information, and provide a review record.
• Process your one-time service payment and send order or service updates.
• Protect the application from unauthorised access, fraud and abuse.
• Meet legal, security, fraud-prevention, and compliance obligations.

AI and service providers

We may use carefully selected cloud, OCR, AI, email, payment, storage, monitoring, and identity providers. They may process only the data needed to perform their service under contractual and security controls. We do not sell passport or travel data.

Storage and retention

Data is encrypted in transit and sensitive passport, travel, accommodation and declaration fields are encrypted at rest. These documents and prepared fields are scheduled for deletion 30 days after the application is created. Minimal transaction, accounting, security and fraud-prevention records may be retained where required by law. Payment credentials are handled by the payment provider and are not stored by TripForm.ai.

Your choices

You may request access, correction, export, or earlier deletion of your application information by contacting us from the email used for the order. Some transaction and security records may be retained where required by law.

International processing

Our company and service providers may process data in Australia and other countries. We use appropriate safeguards for international transfers and apply applicable privacy requirements, including Australian privacy rules and relevant obligations for travellers in other regions.

Other travellers and children

The service is intended for adults arranging travel. If you provide information about another traveller, you must have authority to do so. A parent or legal guardian must provide or authorise the use of information for a minor traveller.
